Here are our scheduled ConCom meeting dates for the upcoming year as we put together Norwescon 39! All meetings are at our convention hotel, the DoubleTree by Hilton Seattle Airport. We’re usually in Maxi’s (at the top of the tower), but may use other rooms as needed when Maxi’s is unavailable. Current planned rooms are noted below, but please remember to check the hotel’s announcement boards as you arrive each month to verify where we are.

- December 12, 2015 (Maxi’s, followed by our annual holiday party in a hotel suite)

- March 20, 2016 (Swag bag stuffing party and IT systems test)
- March 24–27, 2016 (Norwescon 39!)

Meeting format and agenda:
We have some tweaks in the meeting format for this upcoming planning year. While keeping the same general format of only one meeting from 12PM–4:30PM, we will be implementing several changes to try and help the flow of the meeting function more efficiently.
- 11:30AM–12:00PM: No host social lunch hour. Bring your lunch early and hang out with your friends!
- 12:00PM–12:30: Introductions, Announcements, and Sign-ups for Inter-departmental Slots
- There will be sign up sheets for each Exec level department, and the idea is that, if you need to discuss something with a team in that department, you’ll sign up to do so. We will also be introducing a Norwescon binder to the materials station that will have documents like the budget and minutes for the year so far, so this would also be an opportunity to check out that binder if you need to.
- 12:30PM–1:00: Timeline, Exec report back, and Exec voting
- During this section, we will go over timeline deadlines, have any Exec votes that need to occur, and have brief Exec report backs to the committee of what their departments are focusing on for the month. This will also be an opportunity for Execs to highlight if their departments need any particular help or information from other departments.
- 1:00PM–1:30: First Interdepartmental breakout/meeting time
- 1:30PM–2:30: Department Breakouts
- 2:30PM–3:00: Second Interdepartmental breakout/meeting time
- 3:00PM–4:30: Report back to the whole committee
